Overview:
We’re looking for an Executive Assistant to join our Currency Division, based in Dalton, MA.  We look for bright, hard-working people who want to be a part of a world-class organization.
This position provides executive administrative support and key project management for the President of Crane Currency and other senior Currency management, including Marketing and International Sales.  The Executive Assistant must handle highly sensitive and confidential materials with integrity and discretion and exercise good judgment in resolving problems and prioritizing workload.  The position includes project management of key marketing projects and administrative oversight of the corporate travel and expense system.  The Executive Assistant manages numerous independent and interdependent roles concurrently and travels to various company locations, sales meetings, etc. as required.

Responsibilities:

  • Provide executive assistance to Crane Currency senior management, managing internal and external communication, correspondence and calls; scheduling meetings, travel arrangements, etc.
  • Defuse sensitive situations and seek solutions as appropriate
  • Prepare PowerPoint and other presentation materials
  • Complete a wide variety of project management responsibilities using proper judgment, innovative problem solving and attention to detail
  • Manage content of the Currency Division-level Intranet Portal
  • Produce and maintain documentation using array of software programs
  • Take detailed, accurate notes and generate meeting minutes
  • Manage database of all International Sales Agency Agreements
  • Review and validate expense reports and corporate credit card records for Division President and senior management
  • Provide administrative support for North American – Based Currency Conferences
  • Complete duties with short notice, imminent deadlines, international time differences, etc.
  • Perform general office functions as necessary

Qualifications:

  • Associate Degree in Office Administration or equivalent degree preferred
  • Five years of executive administrative experience
  • Knowledge of the Currency business and the functions of the various sites within Currency
  • Experience performing administrative duties in a fast-paced, professional environment with tight deadlines
  • Ability to represent Crane Currency professionally at all times
  • Effective interpersonal skills with ability to effectively conduct business in a multicultural environment
  • Ability to work in both a team environment and independently, with little or no supervision
  • Professional written and verbal communication skills, including ability to create correspondence using proper grammar, syntax and spelling
  • Ability to manage projects and to meet deadlines
  • Ability to organize and lead a small project team
  • Strong prioritization, organizational and time management skills
  • Ability to be flexible and adaptable with work schedule
  • Willingness and ability to travel to various Company locations (Dalton, Boston, NH, GA), sales meetings, etc., as required
  • Ability to demonstrate tact, discretion and confidentiality
  • Ability to work with speed and accuracy
  • Proficient and proven competency with personal computers and associated software including Microsoft Office (Word, Excel, PowerPoint, Access, Outlook for scheduling purposes, etc.) and other software applications
  • Ability to pass and maintain security clearance through the U.S. Treasury Department
