Library Administrative Services Supervisor

Berkshire Athenaeum, Pittsfield’s Public Library, is seeking to fill the position of Administrative Services Supervisor. This individual will assist the Library Director in meeting library goals by performing certain specific functions, primarily managing all office functions, including the preparation and analysis of financial, personnel, and other administrative records. This position requires planning, decision-making and problem solving abilities involving interpretation of library policy and the exercise of independent judgment. This individual performs necessary secretarial and clerical duties in support of the library’s administration. The Supervisor of Administrative Services has access to all library management information functions, including those related to personnel and disciplinary matters. Discretion is required.

Monday thru Friday, 8:00am – 4:00pm
35 Hours per week
Salary range $17.49 – $26.31 per hour

Responsibilities:

  • Serves as the financial and personnel analyst preparing and reviewing finance, personnel and other administrative records maintained for the library. Recommends to the Director appropriate actions when necessary
  • Manages the Library’s accounts payable and accounts receivable, including processing gift donations
  • Utilizes sophisticated computer software to manage information, including the Microsoft Office Suite, QuickBooks, and MUNIS
  • Manages administrative office functions including but not limited to handling incoming telephone calls, managing the reservations of the Library’s meeting spaces, maintaining supply inventory, photocopying, filing, and recordkeeping
  • Prepares monthly and yearly statistical reports
  • Supervises custodians and volunteers
  • Uses the department’s office and/or computer equipment and resources, routinely offers training in its use, and conducts basic diagnostic and maintenance procedures.
  • Regularly attends professional development training(s) and any other trainings as required by the Director
  • Performs other duties as assigned, including clerical and shelving tasks as required, and any other specific tasks assigned by the Director.

 

Qualifications:

  • Associates degree in accounting; or three years of related experience and/or training; or equivalent combination of education and experience. Bachelor degree is preferred
  • Must have and maintain knowledge in current trends in field of expertise (e.g., accounting, bookkeeping, office record keeping)
  • Demonstrates high-level analytical skills with financial data, and ability to effectively utilize a wide variety of computer software (e.g., Microsoft Office Suite, Google Apps, QuickBooks, MUNIS)
  • Requires skill in personal time management and must be able to work independently and be self-motivated
  • Demonstrates patience and skill in dealing with the general public, as well as other employees of the Athenaeum and City of Pittsfield

Expeditor/Take Out – The Expeditor ensures quality and proper presentation of food as well as order completion before sending order to be delivered to our guests by server.  Expeditors are responsible to be familiar with all menus to provide guests and other staff members with answers to any questions, as well as enter take out orders into our pos system (macros).  The expeditor is the first person our guests may interact with when calling for a take out order therefore must use proper phone etiquette.  Other duties include proper cash and credit card handling and tip outs per our employee handbook as well as making sure that the takeout and service area are always stocked, neat, clean and safe. Experience is a plus.

Bartender/Bar Back – The bartender is to provide great customer service to our guests while he/she prepare, mix, serve drinks and beverages correctly to our guests and our service staff.  This includes being able to take and deliver cocktail orders a well as food orders and properly keying them into our pos system (macros).  Bartenders are responsible to be familiar with all menus to provide their guests with suggestions or answers to any questions guests may have. They work closely with other staff (host, servers, busser, expeditor, kitchen staff, and management) and must possess the ability to work well with others to ensure the restaurant is operated efficiently.  Other duties include proper cash and credit card handling and tip outs per our employee handbook as well as daily side work duties.  Candidates need to be of legal age to serve alcohol.  Prior Bartending experience as well as TIPS certification preferred.

Kitchen Prep – Kitchen Prep must be to follow instructions from preparing cooking ingredients to the completion of plating of menu items.  Kitchen Prep are responsible to be familiar with all menus which include soups, salads, appetizers, entrees, pizza and desserts and daily specials. Kitchen Prep must be able to multi-task during busy prep and service times as well as be able to follow instructions and work closely with other staff (host, bartender, busser, expeditor, kitchen staff, and management) Kitchen Prep needs to maintain a clean and orderly kitchen by keeping working areas clean and sanitized, washing dishes and assisting with kitchen opening and closing duties.  Serve Safe Certification a plus.  Prior Kitchen Prep experience preferred.
