Senior Clerk Typist

The City of Pittsfield’s Building Inspections Department is seeking a qualified individual for the full-time position of Senior Clerk Typist. Candidate will perform the following duties: application processing and collection for required inspections; data entry for building; electrical and plumbing inspectors; ability to generate statistical and standard record reports for submittal to local & state agencies; post and maintain general records; filing and storage of building permits, drawings, certificates of occupancy, and certificates of inspection; and other assigned duties. Applicants must have the capabilities and willingness to learn new software, such as Govern, and be able to perform various administrative and clerical duties which will include but are not limited to: answering telephone, assisting walk-ins, and handling public and internal inquiries. Applicants must be proficient in Microsoft applications including Excel, Word, and Outlook. Applicant should be well organized and highly motivated with excellent interpersonal skills.

RESPONSIBILTIES:

Performs various administrative duties such as answering the phone, assisting with walk-ins, and handling public and internal
inquiries
  Performs data entry for building, electrical, and plumbing inspectors. Makes general ledger entries, accounts for receipt and
disbursement of cash transaction and performs other balancing and auditing routines as required
  Assists the Head Clerk in daily functions as needed, such as preparing the cash balancing report and attending to the process of
building permits. Functions as back-up Head Clerk when needed
  Manages the Certificate of Inspections portfolio relating to all businesses operating within the City of Pittsfield
  Prepares applications, determines documents required, collects and processes application fee. Schedules and coordinates
inspection appointments between business owner, building inspector, and Pittsfield Fire Department utilizing calendars and email
in Outlook
  Maintains a tickler system to keep track of the complete process of each application, including violations and outstanding
documentation utilizing Excel Spreadsheets and calendars in Outlook and assists the building inspectors ensuring violations are
addressed and outstanding documentation is obtained by contacting the business owners via telephone and/or written
correspondence
  Issues the Certificates of Inspections upon process of completion by preparing the certificate to reflect updated information
regarding business owners and names, capacity, expiration dates, and issuing the correct type of certificate based on temporary,
related to a liquor license, or not related to a liquor license. Obtaining signatures from proper authorities and releasing the
certificates to the proper individuals
  Perform other duties as assigned

QUALIFICATIONS:

  High school diploma or equivalent
  Strong computer skills and ability to learn municipal software programs (i.e. MUNIS and Govern). Must be proficient in Microsoft
applications, primarily with Excel, Word, and Outloook
  Excellent interpersonal skills, well organized, and ability to adapt to work in a high volume office

35 Hours per week
Monday – Friday, 7:30am – 3:00pm
Salary range $13.99 – $17.31 per hour
