Tanglewood Music Center Residential Director:  Reside at the TMC Residential Facility (in 2014, the EconoLodge) for the full session.  Serve as primary liaison between TMC management, EconoLodge management, faculty and students regarding residential issues. Work to ensure the smooth day-to-day operations of the residential office, and that needs of residents and TMC management are met in a timely and professional manner.   This position reposts to the TMC Associate Director for Student Affairs.

 RESPONSIBILTIES:

  • Arrive in advance of other residential staff and ready facility for arrival in collaboration with the TMC Associate Director for Student Affairs; prior to official start date, work with TMC Associate Director to hire Residential Staff
  • Process the preliminary housing material on TMC/MHS residents, obtaining and managing information from the TMC Associate Director for Student Affairs
  • Coordinate housing numbers and room assignments in collaboration with the TMC Associate Director for Student Affairs and EconoLodge management, including short-term residents; maintain both an occupancy chart and a residential map, keeping TMC and EconoLodge staff informed of all housing changes
  • Organize the office-centered check-in/departure system, including the room inspection process
  • Communicate to residents all TMC residential policies and procedures, arrival and departure details, seasonal and daily transportation details
  • Create, manage, and update (as needed) the TMC resident database, containing contact information, information on dietary needs, car information, rooming information, etc.
  • Serve as primary contact with ARA Site Director (food service) and personnel to ensure appropriate meal schedules, dining room procedures, and special arrangements
  • Resolve routine matters as they arise, and work with the Associate Director for Student Affairs to resolve more serious matters and implement student disciplinary actions.  Promptly advise Associate Director for Student Affairs of observations and concerns, including potentially harmful student behaviors.
  • Serve as primary contact for residents on rooming issues, including changes, arrivals and departures and roommate disputes.
  • Oversee posting and updating of TMC student schedules to ensure strict accuracy with TMC administration; with Associate Director for Student Affairs, anticipate the need for operational changes when rehearsal and performance schedules conflict with meal times and other residential events
  • Participate in all daily dormitory office activities when scheduled to work office or daytime on-call hours. Serve as the staff member on-call overnight on a rotating basis. 
  • Work with/supervise three TMC Residential Staff members, participating in/overseeing daily activities including:

o    Sorting and distributing of daily mail

o    Answering of the phone, taking action, responding to queries, and posting messages where appropriate

o    Use of email systems effectively to ensure proper communication among all constituent groups

o    Creation/manage bulletin boards, including posting all announcements and schedule updates and changes as they come in to the office

o    Cover for all meals

o    Announcement of pertinent information to residents via email, board postings, and verbally at mealtimes

o    Communicate issues and events to other staff via the office log and conversation

o    Notify the Tanglewood Office about immediate needs and concerns

o    Serve as a presence on the corridors, ensuring that all residential rules and policies are observed.

o    Providing availability (being local and reachable via cell phone), during set “on-call” hours

o    Transporting fellows as necessary or bring materials to and from Tanglewood, offering local transportation for medical appointments, shopping needs, etc.

  • Create duty schedule that provides coverage for the TMC/MHS office, meals, and special events
  • Oversee and evaluate the effectiveness of the transportation system, including the use of buses and private cars to meet the needs of the overall program
  • Account for office financial transactions, including “TMC take-out” money, fax and copier service, the purchase of stamps, etc.
  • Serve as the primary coordinator for medical assistance to TMC residents; keep confidential TMC medical records secure and transmit information to medical professionals in the event it is needed
  • Additional duties as assigned by the Associate Director for Student Affairs

QUALIFICATIONS:  Experience working in residential life in a supervisory position preferred.  College degree, familiarity with an interest in classical music are preferred.  Must possess excellent interpersonal and verbal communication skills, a pleasant manner, strong problem-solving skills, patience and the ability to establish and maintain trust and confidentiality. Must be comfortable in dealing with a variety of disciplinary actions. Must be willing to work a flexible schedule, including nights and weekends.  Must be able to work well as a member of a team in a fast-paced environment. Basic computer proficiency is required. Valid driver’s license and clean driving record required.

Housing and most meals are provided.  Start Date:  June 9, 2014 End Date:  August 20, 2014  Hours:  Rotating Office Hours plus on-call residence duty schedule
